There is no one tool for every contractor, but the verdict is clear by segment. HubSpot wins on entry price, and Pipedrive wins when e-signed quotes and structured follow-up matter.
The comparison table on this page puts the plans side by side. Prices are "from" values checked October 6, 2026; confirm at checkout.
- 1 to 2 users, no e-signature need: HubSpot CRM Free at $0 is the better pick.
- 3 to 15 users who want quotes signed inside the CRM: Pipedrive Premium at $59 per seat per month (annual billing) is the better pick on the prices we could document. At 5 users that is about $3,540 a year, against roughly $6,900 in year 1 for HubSpot Sales Hub Professional (third-party per-seat and onboarding figures, unverified) or at least $15,600 a year for HubSpot's official 6-seat Professional bundle.
- 3 or more users, no e-signature need, tight budget: HubSpot Starter at $20 per seat on month-to-month billing (about $15 on an annual commitment per a third-party source) is cheaper than Pipedrive Growth at $39, but its workflows have restricted triggers and actions. This guide is based on public documentation and official pricing pages checked on October 6, 2026. LifePlusTech did not run hands-on tests, so we do not score or rate anything and we do not repeat vendor-supplied review ratings as our own.
We judged each CRM on six criteria that matter to a small contracting business:
- Lead capture: web forms, email and integrations that catch inquiries before they vanish into texts.
- Estimate follow-up: reminders, sequences and a clear place to see which bids are still open.
- Quotes and e-signature: can a customer approve a bid inside the tool, and at which plan?
- Mobile app: whether one exists. We could not verify ratings or offline use.
- Integrations: QuickBooks, Google Workspace, Zapier.
- True cost: the plan that unlocks what you need, multiplied by users, for a full year.
We compare two CRMs here because they are the two we could source properly and they cover the two main buying situations: free-to-start and structured pipeline. Other CRMs exist. If a fact was missing from our research, we say what to verify instead of guessing.
Is HubSpot CRM good for contractors?
HubSpot CRM is a good first CRM for a one- or two-person contractor, and a more complicated decision beyond that.
What you get
Per HubSpot's official pricing page, the free plan costs $0, needs no credit card and is limited to 2 users. Third-party sources report a cap of 1,000 contacts, one deal pipeline and HubSpot branding, but we could not confirm the contact cap on HubSpot's own page. Sales-automation workflows are not included in Free.
Starter Customer Platform lists at $20 per seat per month on month-to-month billing. One third-party source, mo.agency, puts an annual commitment at about $15 per seat, which we could not confirm on HubSpot's official page. The official comparison table shows up to 50 workflows with restricted triggers and actions, up to 15 pipelines and 500 calling minutes. HubSpot also shows a $7 per seat promotional price for new customers only. One third-party source advises budgeting renewals at $20, and we found no official statement on the promo's length.
Where it gets expensive
Quote e-signatures are the sticking point. HubSpot's help article (updated Sept 10, 2026) says they require a Professional or Enterprise plan plus a seat. The article calls the product Revenue Hub, a name we could not verify, so confirm what you would actually buy. The cheapest official Professional bundle shown is from $1,300 per month with 6 seats (a $1,450 price is also shown, probably monthly billing); this is a bundle price, not a per-user price. Extra Core seats start from $45 per month. Third parties report a Sales Hub Professional price of about $90 to $100 per seat plus roughly $1,500 in onboarding. We did not verify that on HubSpot's site, so check it before budgeting.

Choose HubSpot if you want to start at $0, you have two or fewer users and your quotes can go out as PDFs or through your estimating tool. Skip it if you need e-signatures inside the CRM for a team of 3 or more. The QuickBooks link is a partner-built marketplace app from Cloudify that requires QuickBooks Online.

These totals are our own calculation from list prices as of October 2026. They assume a full 12 months at list price and exclude tax, add-ons and any onboarding unless noted. Confirm at checkout.
- HubSpot Free: $0 for 1 or 2 users. Not possible for 5 or 10 users.
- HubSpot Starter at the $20 month-to-month rate (a ceiling): $240 (1 user), $1,200 (5 users), $2,400 (10 users). On an annual commitment of about $15 per seat (third-party figure from mo.agency, not confirmed officially), 5 users would cost roughly $900 a year.
- Pipedrive Growth at $39, annual billing: $468, $2,340 and $4,680.
- Pipedrive Premium at $59, annual billing: $708, $3,540 and $7,080.
- Pipedrive Premium at $79 monthly billing (third-party figure): $948, $4,740 and $9,480.
- HubSpot Sales Hub Professional, year 1 (third-party, unverified: about $90 per seat plus about $1,500 onboarding): roughly $2,580 (1 user), $6,900 (5 users) and $12,300 (10 users). The minimum seat count is unknown.

If the HubSpot Starter promo of $7 per seat for new customers applies, 5 users would be about $420 for the first term only, but its length and renewal price are unknown. Budget the $20 month-to-month rate as a ceiling instead.
Two hidden costs to plan for. First, Pipedrive add-ons start from $32.50 for both Smart Docs and LeadBooster. The official page lists LeadBooster as a Premium feature, so check whether you need the add-on separately at all, and do the same for Smart Docs. Second, Pipedrive's FAQ says implementation is free on plans costing more than $400 a year, while HubSpot onboarding terms for Starter were not verified.
Budget your own time too. We have no sourced figure for setup time for a five-person crew, so we do not quote one. Use the trial period to find out.
How should a contractor set up a CRM pipeline?
Use one pipeline with six stages that mirror how a job actually moves. The same layout works in either tool.
- Lead: a new inquiry from your website, a call or a referral.
- Site Visit: a visit is booked or done.
- Estimate Sent: the written bid has gone out. Record the amount on the deal.
- Follow-Up: the estimate is open and the customer has not answered.
- Won: the customer approved.
- Scheduled: the job has a start date. This is where the CRM hands off to your scheduling or field-service tool.
Automations worth setting up
- Create a follow-up task a set number of days after a deal enters Estimate Sent.
- Log a task to request a review after a deal reaches Won.
- Tag the lead source (web form, referral, directory) so you can see which channel pays for itself.
In Pipedrive, automations start on Growth. In HubSpot, workflows are not in Free and start on Starter, with restricted triggers and actions. Pick a lost-reason field too, since it shows you why bids fail.
About capturing leads from Angi, Thumbtack or Google Business Profile: we did not verify native connections for either tool. Check how each lead source delivers inquiries (email notification, export or integration), then route them through email sync, web forms or Zapier (Pipedrive lists 500+ integrations including Zapier on Lite). Test one real lead before relying on it.
Do contractors need a CRM or field-service software?
A CRM tracks people and deals. Field-service and construction software tracks jobs: scheduling, dispatch, invoicing, payments and, in some cases, job costing. Both CRMs here schedule sales appointments and meetings (Pipedrive has calendar management and a meeting scheduler; HubSpot has meeting links). Nothing in our research covers job costing or crew dispatch in either tool, so verify that before assuming either way.
Consider field-service software instead if:
- Your pain is dispatching crews, invoicing on site or taking card payments, not losing leads.
- You manage multi-month builds with change orders and client portals.
Public pricing here is murky, and our figures come from third parties, several of them competitors, checked October 2026. Treat them as pointers, not quotes, and get current prices from each vendor. We did not research quote-signing features for these products.
- Jobber: one source citing Jobber's US page lists Core from $29 per month billed annually ($49 monthly), with higher tiers up to $399. Other sources list different tiers.
- Housecall Pro: a competitor's analysis lists Basic at $59 annual or $79 monthly, with Essentials at $149 annual or $189 monthly for 1 to 5 users. A separate guide says Basic lacks QuickBooks and GPS.
- Buildertrend: custom quotes, with third parties estimating roughly $299 to $1,099 per month and onboarding fees reported at $400 to $1,500 or more. Plan names conflict between sources.
A practical pairing: use the CRM for the sales side and QuickBooks Online for books. Pipedrive documents an integration that creates QuickBooks invoices from a deal. HubSpot offers a partner-built marketplace app. If you use QuickBooks Desktop, Pipedrive's integration does not apply.
Can a free CRM work for a contractor?
